West Kent Intergroup is responsible for personal information on this site. There is no data protection officer. Privacy requests, complaints, and resignations go to the Electronic Communications Officer at [email protected].

What this site is for

The public pages give information about Alcoholics Anonymous in West Kent and a meeting finder. The meeting finder is run for the meetings. Members who hold a service position can also sign in to carry out intergroup service.

Meeting finder

The meeting finder shows the meeting name, day, time, and the venue or online joining details. Where a group has supplied them, it also shows a contact name and telephone number. We publish those details so people can find a meeting. Anyone who opens the meeting finder can see them. Our reason for this is legitimate interests.

The Group Service Representative keeps the listing for their group. It should match the meeting finder on the national Alcoholics Anonymous website. This site is kept on behalf of the meetings.

A name and phone number published as an AA meeting contact can show that the person is connected with Alcoholics Anonymous. That is information about health. We publish it only when that person has explicitly agreed, and the group’s group conscience has approved it.

A building contact who is not identified as an AA member is ordinary contact information. Legitimate interests cover that listing.

To change or remove a meeting contact, the group decides. The Group Service Representative then updates this site, or asks the Electronic Communications Officer to update it. A person whose own name or number is listed can also write to [email protected]. We will act on that request. The usual way to change the group’s listing remains the group, the Group Service Representative, and the Electronic Communications Officer.

Serving officers

If you hold a service position, we keep the details needed to reach you while you serve the intergroup. That can include your name, email address, telephone number, and postal address where you have given one. We also keep the choices you make on the data consent form. Our reason for holding these records is your consent. The agreement is explicit. The records show that you hold an AA service position.

We keep your contact details while you hold the role, because the intergroup has to be able to reach the people who serve it. Asking for those details to be removed is a resignation. After you resign, we stop using them as the contact for a current officer. Taking consent back does not undo something already done, such as minutes that have already been sent.

Where a service notice includes your name or contact details, sending it to an intergroup WhatsApp group is covered by the same consent. A notice that does not name anyone is sent on the basis of legitimate interests, so the intergroup can carry out its service. WhatsApp receives the text of those notices so it can deliver them.

Cookies

We use a small number of cookies so the site can work. We do not use advertising or analytics cookies.

When you respond to the cookie notice we store the page address, the time, your browser type, the choice you made, and an anonymised IP address. The reason is legitimate interests: a record that the notice was shown and what was chosen.

Information processed outside the UK

Some services used to run this site are outside the UK. They can process information in other countries, including the United States. West Kent Intergroup does not have its own transfer contract with them. Each company describes the safeguards it uses in its own privacy notice.

How long we keep information

We keep a meeting contact on this site while the group publishes it. It comes off when the group updates the listing, or when we act on a direct request about that person’s own details.

We keep a serving officer’s contact details while they hold the role. After resignation, we no longer use them as the contact for a current officer.

We keep the cookie-notice log as a record that the notice was acknowledged.

Taking consent back

Where the reason is consent, you can take it back at any time by writing to [email protected]. Taking it back stops further use. It does not undo something already done.

For a serving officer, taking back consent to hold your contact details is a resignation. We then stop using those details as the contact for a current officer. For a meeting contact, removal follows the group, as described above. You can also write to us directly about your own name or number.

Your right to object

You can object to uses based on legitimate interests. That covers the meeting finder, the security cookie, the sign-in cookie, the cookie-notice log, and a WhatsApp notice that does not name anyone. Write to [email protected]. For the security cookie and the sign-in cookie, we will keep using them, because the site cannot stay secure or keep you signed in without them.

A copy of your service information

If you hold a service position, you can ask for the information you provided, in a common electronic form. You can ask us to pass that copy on where that is practical. This applies to your service records. It does not apply to the public meeting list.

Your other rights

You can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or ask us to limit how we use it. Write to [email protected].

Complaints

If you think your information has been used wrongly, complain to West Kent Intergroup at [email protected]. We will acknowledge your complaint within 30 days, look into it, and tell you the outcome without undue delay.
